Appointment Cancellation and Clinic Policy Regarding Missed Appointments - Updated September 2022

I know what it's like. Sometimes the unexpected pops up. Sometimes things clash. 

 

And you suddenly realise you can't make your sports massage appointment you booked a few weeks ago...

 

I get it! It's happened to me before. We're all human! We are all busy, and sometimes, life just happens. Trying to juggle life's responsibilities can be overwhelming and stressful at times. I do understand.

 

But I'd just like to gently remind you that in order to be respectful of the needs of all my patients, I do have to have a 24 hour cancellation policy in place. My goal has always been (and will continue to be) to provide quality individualised care in a timely manner. No-shows and late cancellations inconvenience not only myself, but also other individuals who may be in need of treatment.

Cancellation of an Appointment  

All I ask is that if you need to cancel or reschedule your appointment, please contact me promptly - at least 24 hours before your scheduled treatment time. Appointments are often in high demand, and your early cancellation should provide me with enough time to give another person (who may be waiting and/or in need of an appointment) your time slot.

 

Of course, if one of your friends, partner, or family members could benefit from a session and you'd like them to use your treatment slot instead - that is also absolutely fine! As long as you provide me with their name, contact number and email address so that I can send them the relevant location details, payment information, and pre-appointment medical forms to fill in.

Charge for Late Cancellations

Please be aware that if I receive any appointment cancellations with less than 24 hours notice, a 50% cancellation fee will still apply - to cover my running costs, and the loss of my valuable time and income. (This will not apply if you send a friend, family or loved one to take your place!)

No Show Policy

A “No Show” is someone who is not present at the time of their scheduled appointment and has not provided adequate notification. I fully understand that emergencies do happen... However, when you do not get in touch to cancel an appointment, you are wasting valuable time and preventing another patient from receiving much needed treatment. No shows equate to no income for a massage therapist, which hurts business tremendously. So, please contact your massage therapist as soon as you know you will not be able to attend an established appointment time. No-shows will be charged a non-refundable administrative fee of the full cost of treatment.

 

 

Reminders

But please don't panic! I agree, this all sounds quite scary, but I will send you an email reminder 48 hours before your scheduled appointment time, just in case you've mis-placed your diary! So, keep an eye on your emails, and if you are not able to keep your appointment, please get in touch as soon as possible, or email louisasportsmassage@gmail.com and I will be happy to reschedule it to a more suitable date/time for you.

 

 

 

Illness & Contraindications

If you find that you are unwell, poorly, displaying symptoms of infectious ailments, illnesses, or any of the contraindications listed here - a Sports Massage treatment will not be the best course of treatment for you. In fact, it could potentially make you feel worse whilst your body and immune system is fighting off illness, infection, or managing a serious medical condition. It could also put Louisa and her other clients at risk!

 

So, if you are feeling unwell or have any contagious conditions, please stay away from the clinic until you are feeling better and symptom free. There is of course, no cancellation charge for this. Simply let Louisa know as soon as you possibly can and reschedule your appointment by following the link on your booking confirmation email. Likewise, if Louisa develops illness or contagious symptoms, she will contact any upcoming bookings to re-schedule.
